Privacy Policy Regarding Students’ Personal Data

1. Purpose of this Privacy Statement
Your enrolment in our institution requires us to process certain data you provide or that are communicated during your schooling. The integration of new technologies (e-learning, etc.) also generates new data processing activities for additional purposes and may involve new actors.
This privacy statement explains how we manage personal data collected via forms, phone calls, emails, and other communications with you.

2. What is Personal Data Processing?
Personal data is any information that directly or indirectly identifies an individual (e.g., name, ID number, location data, online identifier, or characteristics linked to identity, physiology, genetics, psychology, economy, culture, or society).
Processing means any operation performed on data, whether automated or not (collection, recording, storage, adaptation, consultation, use, transmission, deletion, etc.).

3. Who Processes Your Data?
Personal data is only accessible to and processed by our staff, who are trained in confidentiality, legitimate use, and security of such data.

4. Institutional Commitment
Protecting your privacy is of utmost importance.
We process your data in compliance with all applicable data protection laws, including the GDPR (EU) 2016/679.
By enrolling in our institution, using the school’s platform, or otherwise providing your data, you acknowledge and accept the terms of this privacy policy, as well as the related data processing and transfers. Processing will always be lawful, fair, and legitimate.

5. Personal Data We Collect
Data are collected for specific and legitimate purposes. Generally, we use data:
• with your consent,
• because it is necessary for fulfilling our educational mission,
• under a legal obligation,
• to safeguard vital interests of the data subject or another person,
• to perform a task in the public interest or in the exercise of official authority.
Types of data may include:
• Identification and contact information: name, address, email, phone, gender, date/place of birth, nationality, education background, family details, school records, photos.
• Government-issued IDs: passport, identity card, national register number, etc.
• Financial information: bank account details and other financial records (CPAS, Actiris, VDAB, mutual insurance, etc.).
• School-related information: data for organizing activities, excursions, cultural projects, insurance, and services offered by the institution.

6. Purpose of Processing
Two categories:
• Administrative management: by law, we must transmit certain student data to the Fédération Wallonie-Bruxelles for funding purposes, via a secure interface.
• Educational management: managing your schooling requires internal processing of records and sometimes sharing with third parties (e.g., other schools if you transfer). We use your data to contact you about your studies and handle related aspects (letters, invoices, etc.).
Data sharing with third parties is strictly non-commercial and limited to what is necessary for your schooling.

7. Legal Basis
The institution’s legitimate interest lies in fulfilling its educational mission.
Most data collection is required by law or contract. For optional data, you may withdraw consent at any time (without affecting prior lawful processing).
If we process your data for new purposes, we will inform you accordingly.

8. Image Rights
The school may take photos for projects linked to its mission and pedagogy. These may appear in the school’s internal newsletter or, occasionally, on social media.
Your consent will always be requested before publication.

9. Your Rights
You have the following rights regarding your personal data:
• Right of access
• Right of rectification
• Right to erasure
• Right to object (with specific justification, unless overriding legitimate grounds exist under GDPR).
To exercise these rights, send a signed and dated request with a copy of your ID (both sides) by email or post to the contact address at the top of this document.

10. Data Retention
Personal data are kept as long as you are enrolled in our school. Educational records are retained in compliance with legal requirements, and at most for 30 years.

11. Security
The school applies technical, physical, legal, and organizational measures to protect data.
If you believe the security of your personal data has been compromised, please notify us immediately.
Any third-party service providers handling personal data will be carefully selected and required to ensure confidentiality and security.

12. Changes to this Policy
We regularly review this policy and reserve the right to amend it at any time to reflect changes in activities or legal requirements. Updates will be communicated to you
